Getting started

You get a 7-day free trial with 5,000 mentions and 5 keywords, no credit card required. Start your free trial onboarding here, it takes about 2 minutes.During onboarding, Octolens auto-fills your company context from your website and suggests 4 starter keywords. You can edit any of it before continuing or edit later in your workspace once it’s set up.
Octolens looks back 7 days for new keywords.We don’t currently support backfill beyond 7 days. If this is something you need, let us know in the in-app chat, we track these requests.

Keywords

Open the Keywords page from the sidebar, find the keyword in the table, and click Edit (or use the ··· at the end of the row):
  • Keyword settings. Edit tag, platforms, context, and include/exclude rules.
  • Pause keyword. Stop pulling new mentions without deleting; existing mentions stay in your feeds.
  • Delete keyword. Permanently remove the keyword and all its mentions. Can’t be undone.

By default, no. Exact match is on for new keywords, so Octolens won’t match Octolensapi. However, we will catch your keyword within a domain, with 's, or in a handle (e.g. @octolens).
If you want to change the business context for which you’re tracking keywords, go to Settings → Company Profile and update the answers in the form. We won’t backfill that data, but from then on all incoming posts will use the updated information for AI relevance and tagging.
Yes. Instead of pasting in a keyword, paste in the URL of the subreddit into the keyword input and click save. Then we’ll know to track all posts of the subreddit.

Platforms

Here are all the platforms we track. Depending on your plan, you’ll have access to all or a subset of them.
A few common reasons, in roughly the order to check:
  1. Backfill window. Octolens looks back 7 days when you add a new keyword. Older posts won’t appear.
  2. Refresh interval hasn’t run yet. Each platform has its own refresh interval. See Tracked Platforms for specifics.
  3. Platform is disabled for this keyword. Check the Platforms field in Keyword Settings.
  4. Coverage varies by platform. We get close to 100% coverage on X/Twitter, Reddit, YouTube, and a few others. For LinkedIn, we fetch all tagged brand mentions via the OAuth flow, and for other keywords we find what a logged-out user would see.
If you’ve checked all of the above and still don’t see mentions, reach out via in-app chat with the post URL and we’ll investigate.
Refresh intervals vary by platform and plan. Reddit, Bluesky, and Podcasts are real-time. Otherwise the Pro plan is hourly across most platforms; the Scale plan is real-time on most platforms. See Tracked Platforms for the exact interval per platform.
LinkedIn is the most restricted platform we monitor. Two things that help:
  • Connect a LinkedIn page admin. Go to Settings → Platforms to authorize a LinkedIn account. Once connected, you’ll get all tagged company mentions.
  • Set realistic expectations for non-brand keywords. For these we find what a logged-out user can see, so we may miss posts you’d otherwise see in LinkedIn.
Go to Settings → Platforms, find LinkedIn, and click Connect. You’ll authorize Octolens to read your LinkedIn page activity. Once connected, mentions tagging your company appear in your feeds.
If you need a faster refresh than our Scale plan offers for a platform, reach out via chat or hi@octolens.com for an enterprise plan. These begin at $1,000 per month billed annually.
A few reasons we may not catch a specific post:
  • The post is older than our 7-day backfill window
  • The keyword is paused or the platform is disabled in Keyword Settings
  • The post uses your keyword in a way our parser misses (a partial match with Exact match on, or a non-text format like an embedded image)
Send us the post URL via in-app chat and we’ll check.
The app UI is in English, but you can search for any word in any language. On Twitter/X, we only return English results. Make sure you don’t have “EN only” selected in your feeds so other languages aren’t hidden.

Feeds and destinations

We rolled them into one concept. Views are now called Feeds, and the standalone Alerts page is gone. To send mentions to email, Slack, or a webhook, open the feed you care about and click Set up alert in the top right. The destination sheet opens with email, Slack, and webhook toggles.
Yes. Any feed in Octolens can be sent to one or more Slack channels. See Connect Slack for the one-time workspace connection, then Destinations to wire a feed up.You decide which keywords, tags, sentiment, and relevance levels to include by editing the feed itself. For example, send only High-relevance posts with Buy Intent to your sales channel.
Yes. In the Set up alert destination sheet, you can toggle on Email, Slack, and Webhook all on the same feed. Each destination has its own recipients/channels/URL and its own frequency (Instantly, Hourly, Daily, Weekly).
Most often it’s one of three things:
  1. The Slack channel is private and Octolens doesn’t have access.
  2. The feed isn’t matching anything. Open the feed and check that mentions appear there. If it’s empty, the destination has nothing to send.
  3. The Slack integration disconnected. Go to Settings → Integration for Slack and check the status. If it’s not Active, remove and reconnect.
Octolens caches your Slack channel list when you connect. Newly created channels sometimes don’t appear until you reconnect.To refresh: Settings → Integration for Slack → click Remove integration for Slack, then connect again. The new channel will now show up in destination setup.The channel also needs to be a public channel that you’re a part of.

Team and workspace

Go to Settings → Members and click Invite member. Enter their email, they’ll get an invite to join your workspace. Choose between member or admin role. Admins have billing rights, can invite members and assign roles, and can create admin-level API keys.See Team Members for more details.
Workspace admin transfer is currently handled by our team. Reach out via in-app chat or hi@octolens.com and we’ll transfer admin to a new email. We may ask you to verify ownership.
If you ended up with two workspaces (for example, one from a personal email trial and one from a team plan invitation), email hi@octolens.com and we’ll close or merge them for you.

Plans and billing

Two paths depending on what you want to stop:
  • Mention notification emails: Open the feed sending them, click Set up alert, and toggle off the Email destination (or update recipients/frequency).
  • Product / marketing emails: Click the unsubscribe link at the bottom of any Octolens email.

Yes. Flex keywords are available on every plan. A workspace admin can add or remove extra keywords any time from Settings → Plans & Billing. They’re billed monthly. See the page for the current per-keyword rate.The same applies to Flex mentions if you go over your monthly mention limit.
Go to Settings → Plans & Billing. There’s a “Change to annual” prompt at the top of the page. Annual billing saves up to 20%.
In Settings → Plans & Billing, click Manage billing & payments. You’ll be taken to our payment processor’s portal where you can update card details, billing address, and invoice email.If you need help, please write in-app chat or hi@octolens.com.
We offer up to 20% off when you switch to annual billing. Beyond that, we don’t discount further. If you’re between plans, you can use our Flex mentions and Flex keywords add-ons to create the plan that works for you.

Most billing actions live in Settings → Plans & Billing. You can manage your plan, switch to annual billing, and cancel from there. If you can’t find the cancel option, reach out via in-app chat or hi@octolens.com.

API, MCP, and webhooks

Yes, both, on every plan. We also offer an MCP server for AI agents.You can also use any of the popular automation tools like Zapier, n8n, or Make to send your feeds to your app of choice.
Connect Octolens to Claude, ChatGPT, Cursor, or any other MCP-compatible client and ask questions of your mention data in natural language. For example: “Show me last week’s buy-intent posts on Reddit,” or “Summarize what people are saying about [Competitor] on X this month.”See MCP Server for setup, scopes, and example prompts.
Yes. Octolens webhooks are Discord-compatible. Paste a Discord channel webhook URL directly into the Webhook URL field and mentions will post into the channel. No middleware needed.
Full payload reference is in Webhooks → Payload format, including every field, its type, and when it’s populated.

Troubleshooting

Run through this checklist:
  1. Wait at least an hour after adding the keyword. Initial backfill and platform refresh take time.
  2. Is it too narrow? Check out Keyword Settings. Your keyword may be too narrow, long-tail, or have too many settings to be finding any results.
  3. Are all platforms enabled? Check the Platforms field in Keyword Settings. By default they all should be, but it’s worth confirming.
  4. Check All mentions, not a narrower feed. Your filter or default feed might be hiding the post. All mentions shows everything Octolens has pulled in, including low-relevance.
  5. Is the keyword paused? A paused keyword stops pulling new mentions. Resume it from the ··· menu on the Keywords page.
  6. Is your company context strong? Thin context leads to over-aggressive AI filtering. See Company Context.
If you’ve checked all of the above and still see nothing, reach out via in-app chat with the keyword and an example post URL we should have caught.
Octolens uses AI to score every mention as relevant or not relevant based on your company context, the post content, and the source. Low-relevance mentions are ones where the AI isn’t confident the post is actually about your product or industry. For example, a generic mention of a common-word brand, or a post in a language or context unrelated to your business.You can:
  • See low-relevance mentions in the All mentions feed
  • Filter them out of any custom feed or destination
  • Help the AI learn by marking mentions as Relevant or Not Relevant on individual cards
On any mention card, click Mark as not relevant or Mark as relevant to give feedback.You can also adjust the keyword itself. Adding Negative terms, Negative authors, or sharper Keyword context in Keyword Settings usually has a bigger impact than per-mention feedback.
The short answer: Your mention quota counts every post Octolens pulls in for your keywords, not just the ones that pass our AI relevance filter. By default, your feeds and the Dashboard chart show only relevant mentions, which is why the number you see is much smaller than what’s been counted against your quota.To see everything that’s been pulled in:
  1. Open the Dashboard and switch the Mentions over time chart breakdown to Relevance. You’ll see how the bars split between relevant and not-relevant.
  2. Use the keyword picker above the chart to isolate the noisiest keywords.
  3. From there, drill into the keyword’s settings to add guardrails.
How to bring your mention usage downOnce you’ve identified the high-volume keywords, open Keyword Settings for each one and use any of:
  • Posts must ALSO include (ANY OF / ALL OF). E.g. Cursor AND ANY OF coding, AI, IDE so generic posts get filtered out before they’re pulled.
  • Negative terms. E.g. Cursor AND NOT mouse, click for common-word brands.
  • Negative authors. Exclude your own company accounts so your own posts don’t count against your quota.
  • Allowlist or excluded subreddits. In Global Keyword Settings for account-wide cleanup.
Important: Keyword context helps the AI judge what’s relevant, but it does not stop posts from being pulled in. To reduce mention usage, you need to use the include/exclude rules above, not just write better context.A few edge cases worth knowing
  • Recently deleted keywords still count. Mentions pulled in this billing cycle from a keyword you’ve since deleted still count against your quota, but they won’t appear on the Dashboard (which shows active keywords only). This can make Dashboard totals look lower than your “mentions used” counter.
  • Common-word brands (Arc, Modal, Authorization, Railway). These are the most common reason quotas get burned through. Octolens auto-fills smart defaults during keyword setup, but it’s worth reviewing the include/exclude rules in Keyword Settings before letting them run for a full month.
Still hitting your limit?Workspace admins can add Flex mentions (and Flex keywords) any time from Settings → Plans & Billing. You only pay for what you use, and you can remove them anytime.
